JDE is Cashbook’s newest ERP system that we have integrated with. We have been integrating with major ERP systems since 1992 and have become Oracle Tier 1 partners since December 2007. We have a huge value proposition for all companies using both JDE World and Enterprise 1.

AR Value Proposition:

Cashbook enhances the AR cash application functionality in JDE. We offer a single entry point for all cash processing that gives users the ability to quickly and easily enter cash. JDE limitations in the AR space include:

  • No ability to apply cash across multiple JDE companies or in multiple currencies.
  • Deductions/Debit Notes/Credit Notes are not easily created and applied as a part of the cash application process
  • Cannot post directly from a bank statement to AR, AP and GL.
  • No tracking of bank statement opening and closing balances
  • No tracking of bank statement numbering
  • Draft Management not fully complementary to bank reconciliation process
  • No integration with bank reconciliation of AR cash application process
  • Direct Debits functionality in JDE not integrated with European banks
  • Customer Hierarchy is limited to two levels.

Cashbook looks directly at a number of JDE files to find open invoices and customer information examples include F03B11, F03B13, F03B14. Cashbook takes information from a bank statement or bank lockbox file and automatically matches that information with open invoices and deductions. For those not containing enough information, Cashbook shows the AR Clerk the open amounts and available details with the open invoices for easy selection. Once matched, the information is then fed back into JDE updating files such as F03B13, F03B14, F0911Z1 via the Z file process. Cashbook ensures JDE is populated as if it JDE is processed using standard JDE functionality however we include additional reference information such as Cashbook Journal & Line information and Bank Statement or Lockbox information.

AR Credit & Deduction Management Value Proposition:

We are partners with a company that provide credit and deduction management solutions. The limitations with JDE financials for credit collections & deductions include:

  • No ability to put notes on customer accounts.
  • No ability to re-print invoices quickly & easily.
  • No facility to rapidly send fax/pdf/email to customers detailing invoices outstanding and cash required for collection.
  • Not a user-friendly order-hold process.
  • No method of tracking collection agent’s accounts & DSO achievements.

Our partner’s solution views files such as F0311, P03013,F0301(2). Additionally our partners product views order files so that users can place orders for late paying customers on hold or release holds that have been instigated. We have many customer references showing how customers have reduced their DSO by over 10%. For many companies that has generated a ROI of €100,000’s.

Bank Reconciliation Value Proposition:

Cashbook has given JDE customers bank reconciliation functionality because every time a Cashbook journal is posted our bank reconciliation solution is updated. This means when you use Cashbook you only need to add our Bank Statement Upload module and you have all the information you need to do bank reconciliations.

For people who do not use Cashbook we offer the bank reconciliation solution as a standalone solution that can reconcile relevant GL accounts with incoming bank statements. Our Cash to GL reconciliation compares GL accounts with incoming bank statements. Cashbook Bank reconciliation product features:

  • Auto-matching of bank statements to cash balances

ACH Value Proposition:

Cashbook Global Payment solution provides JDE customers with the ability to combine full international payment capabilities and domestic ACH capabilities integrated with the existing World or Enterprise One system.

How it Works: ~ Cashbook selects invoices from the JDE F0411 file, payment selections can be done across all invoices as would be used in a Shared Service Centre environment or sub-selections can be made based on: business units, currency, vendor number, invoice date, even down to individual invoices. Cashbook then creates an ACH payment file for transmission to the bank. If required, Cashbook can populate the CTX records (addenda records showing invoice number) and if the remittance details are large, include a 820 remittance file with the ACH Payment file. Cashbook formats the payment file generated from JDE into an ACH format and transmits to your financial institution. ACH formats believe it or not will often vary from bank to bank across North America. While there are commonalities in the data that generates ACH payment files often the structure and file specifications will vary significantly.

On formatting the ACH payment file spooled remittances can be generated as part of the process which can be faxed or email to vendors and held as audit back up for the payment run. Cashbook also offers an Email Remittance solution which has additional benefits when implemented alongside Electronic Payments. The ACH payment file is then transmitted to the bank and vendors receiving the payment are aware of the invoices included in the payment. If an 820 remittance file is sent with the original ACH the vendor can then use this file in their own ERP to close the corresponding AR invoices.

Cashbook’s ACH Payment Module mains features include:

  • Invoice payment information can be inclusively sent via the ACH file.
  • IBAN (International Bank Account Number) & non-IBAN payment formats can be generated for non-ACH wire payments.
  • Complete audit trail.
  • Auditable security surrounding vendor/employee bank account details.
  • Spooled remittances – Vender Information or internal Audit Purposes

JDE System Updates:

To ensure the integrity of the JDE system Cashbook purposely avoids performing direct updates to JDE tables. We utilize full functionality of the Z file processes for AR, AP and GL updates. To ensure real-time information in JDE Accounts Receivable, Payable and the General Ledger, Cashbook executes the Z file processes in real-time.

Z-files in JDE are used for temporarily records. During a Z file post process a receipt batch (type RB) gets posted via report R09801 and this will make entries in the General Ledger (F0911) as well as in the account balances files (F0902). It will also update the F03B13 and F03B14 (giving it a posted code) and it will update the F0011 (Batch header file), giving it a posted status.
